Using the Distributions dashboard

The Distributions dashboard gives your team a consolidated workspace for reviewing payment distributions across budget categories in Versaic Grants Advanced. It shares the same navigation, filtering, and export patterns as the Payments and Forecasts dashboards, giving you a consistent experience across the Budgets & Payments area.

This article covers the updated Distributions dashboard. If your organization is still using the previous layout, visit Finding payments and distributions instead.

Navigating the Distributions dashboard

  1. Select Budgets & Payments in the main navigation.
  2. Select the Distributions tab.
  3. Select a budget category at the top of the page. The dashboard loads distributions and summary totals for that category.
  4. Use the Budget Groups tree in the left sidebar to narrow results:
    • Expand or collapse groups using the chevron controls.
    • Select one or more budget groups to filter the grid and summary.
    • Select All Budget Groups to return to the full category scope.
  5. Switch between related dashboards using the tabs at the top of the Budgets & Payments area:
    • Payments for parent payment records.
    • Forecasts for forecasted allocations.
    • Budgets for budget management. If the Budgets dashboard has not yet been enabled for your tenant, selecting this tab opens the legacy Budgets layout in a new browser tab.

The main content area contains the distribution summary, filters, export actions, and the distributions grid.

Understanding the distribution summary

The summary section at the top of the dashboard aggregates distribution totals for your current budget category, budget group selection, and applied filters.

When collapsed, the summary highlights three headline figures:

  • Total amount: Combined distribution value in scope.
  • Paid: Total value for distributions in a paid status.
  • In progress: Combined value for distributions still moving through workflow statuses.

Expand the summary to review additional groupings:

  • In progress statuses, such as Draft, Preapproved, Scheduled, and Processing.
  • Adjustments statuses, such as Failed, Voided, and Refund.

Status groups with a zero total for the current filter set are hidden so you can focus on meaningful amounts. Summary totals update automatically when you change the budget category, budget group selection, or filters.

For in-kind budget categories, the summary can include item quantities alongside monetary totals (for example, amount and item count). The Due date label changes to Expiry date for in-kind categories.

Filtering distributions

The filters panel is collapsible. Select Show more filters to expand it, or collapse it to keep only active filter chips visible in the mini summary strip.

Status and payment filters

  1. Expand the filters panel.
  2. Set any of the following multiselect filters:
    • Payment status
    • Payment type
    • Payment method
    • Integration status (only when the selected budget category supports integrations)
    • Currency (only when multi-currency is enabled and the category uses more than one currency)
    • Fiscal year
  3. Select Select payment codes to open the payment codes picker, then choose one or more codes grouped by category.
  4. Select Apply filters.

Date filters

  1. Enter ranges for any of the following in the Date filters section:
    • Date created
    • Payment date
    • Due date (labeled Expiry date for in-kind categories)
  2. Correct any validation messages if a From date is later than the To date. Apply filters stays disabled until date ranges are valid.
  3. Select Apply filters.

Applied filter dimensions appear as removable chips above the grid. Select the remove control on a chip to clear that dimension without resetting your entire filter set. Select Clear filters to reset all filter values.

Your filter choices are saved per budget category and restored the next time you open the Distributions dashboard for that category.

Reviewing distributions in the grid

The distributions grid lists individual distribution rows that match your current scope and filters.

Default columns

The grid can display columns in these groups:

  • Details: Budget, Proposal, Payment, Payment ID, Status, Payment document number, Payment type
  • Dates: Date created, Due date (or Expiry date), Payment date
  • Amounts: Payment amount, Distribution amount
  • Other: Quantity (in-kind categories)

Select column headers to sort where sorting is supported. Use the pagination controls to change pages or adjust how many rows appear per page.

Finding specific records

  1. Enter text in the Find / Filter search box above the grid.
  2. Press Enter or submit the search to refresh results.

Quick search works alongside structured filters. Use filters for precise criteria and quick search for free-text lookups across grid values.

Selecting rows

  1. Select the checkbox on one or more rows to include them in a bulk action.
  2. Review the selected row count shown above the grid.
  3. Select Clear selection to deselect all rows.

Row selection clears automatically when you apply new filters.

Select linked values in the grid to open related records:

  • Budget and Proposal open in a new browser tab when a link is available.
  • Payment opens the parent payment record when mailbox access allows it.

Exporting distribution data

Distributions export through your organization's configured export templates, using the same governed export pattern as the Payments dashboard.

  1. Apply any filters or row selections you want reflected in the export.
  2. Select Export above the grid.
  3. Choose one of the following options:
    • All (with count): Exports every distribution row in the current filtered scope.
    • Selected (with count): Exports only the rows you selected. This option is disabled when no rows are selected.
    • View results: Opens the export results page to check recent export jobs.
  4. Select an export template from the submenu when prompted.

A Distributions Report template is provided by default for all Grants Advanced tenants. Your organization may also have custom export templates available in the submenu.

Exports generate Excel files. Large jobs may queue in the background and appear on the export results page when ready. Smaller jobs may download directly to your browser.

If you choose a Selected export with no rows selected, the export option remains disabled.

Managing column and dashboard preferences

Manage Columns

  1. Select Manage Columns above the grid.
  2. Add, remove, or reorder columns in the dialog.
  3. Select Apply to save your layout, or reset to the default column set.
  4. Resize columns directly in the grid by dragging column borders. Width and order preferences are saved per budget category.

Summary and filter panel state

  • Expand or collapse the distribution summary. Your preference is saved per budget category.
  • Expand or collapse the filters panel. The collapsed state is also saved per budget category.

Column, sort, page size, filter, and quick search preferences are stored per user and scoped to the active budget category.

First visit note: Preferences from the previous Distributions layout are not carried over. On your first visit, you will need to set up your preferred column layout and filters. These will be saved automatically from that point on.
