The disbursement tracker enhances donation transparency, giving you visibility into the status of your donations. This feature helps you track where funds are and when they reach nonprofits.
Initiating payments with Benevity
The payment status is displayed in the Payment tab of a request, next to a recorded payment. There are three payment statuses for every payment through Benevity:
- Unprocessed
- Processing
- Paid
You can initiate payments through Benevity by updating the payment status to Processing. As the payment is processed, you’re informed of its status in the disbursement tracker.
The payment status is updated to Paid automatically when it is completed by Benevity.
For payments through your accounts payable, the status is updated manually by your team as they are processed.
Tracking grant disbursements
The tracker follows your grant’s journey to the nonprofit as it moves through Benevity’s disbursement process.
To access the tracker:
- Go to the Budgets & Payments page from the top main navigation bar.
- Go to the Payments grid.
- Open the relevant payment card by selecting View details in the far-right column of the grid for the relevant payment.
- View disbursement tracking information from the Payment card.
The tracker appears if you selected a payment with the status Processing, displaying the grant’s progress. The tracker provides real-time updates as the grant moves through each disbursement stage.
Understanding disbursement statuses
The following statuses are highlighted in the tracker and provide more detail on the disbursement:
- Payment set-up
Example status: Oct 22, 2024: Your $10,000 payment is now set up and ready to go!
Your grantmaker specifies which organization is recommended to receive the grant and the size of the grant. - Donation Report generated
Example status: Nov 1, 2024: American Online Giving Foundation has generated your Donation Report. Please ensure your donation is received by the Foundation by the date noted on the report.
Your company receives a Donation Report (DR) from the applicable foundation at the beginning of the month after the grant was initiated. The DR includes the grant payment amount. - Donation received by foundation
Example status: Nov 10, 2024: Donation received by American Online Giving Foundation.
Your funds are sent directly to the applicable foundation when the DR is paid. - Funds sent to nonprofit
Example status: Nov 30, 2024: Funds sent by American Online Giving Foundation to Red Cross.
Funds are sent by the applicable foundation to the nonprofit. - Funds received by nonprofit
Example status: Dec 2, 2024: Check cashed and funds received by Red Cross.
Funds are received by the nonprofit.
Note: All dates displayed in the tracker are projected dates based on the standard process and subject to change.
