Using the Forecasts Dashboard

The Forecasts Dashboard is a modernized interface for managing forecasted budget allocations in Versaic. It provides a consolidated view of all forecasts across budget groups, with summary totals, flexible filtering, and tools for creating, editing, exporting, and deleting forecasts.

Navigating the Forecasts Dashboard

  1. Select Budgets & Payments in the main navigation.
  2. Select the Forecasts tab within the budget category context.

The dashboard opens with a two-panel layout:

  • Left sidebar: A hierarchical budget group tree. Expand and collapse groups using the chevron icons, and use checkboxes to filter the dashboard to one or more budget groups. Selecting All Budget Groups returns to the full program view.
  • Main content area: Contains the summary section, filters, top actions bar, and the forecast grid.

Understanding the summary section

The summary section at the top of the dashboard displays totals for the current scope:

  • Total Forecasted Amount: The combined forecasted value across all forecasts in scope.
  • Total Remaining Amount: The combined remaining value after deducting payments made against forecasts.
  • Total # of Forecasts: The count of forecasts currently in scope.

These totals update automatically when you change the active budget group or apply filters.

Filtering forecasts

The filters panel is collapsible. Select Show More Filters to expand it, or collapse it to keep only active filter chips visible.

Expanded filters include:

  • Status: Filter by Available or Distributed.
  • Currency: Filter by currency code. This filter only appears in programs where multi-currency is enabled and more than one currency is in use.
  • Expected payment date: Filter by a date range (from and to).

Select Apply Filters to refresh the grid with your selections, or Clear Filters to reset all filter values.

Creating a Forecast

Use the Create Forecast button in the top actions bar to reserve a forecasted amount against a budget for a future payment date.

  1. Navigate to Budgets & Payments > Forecasts.
  2. Select Create Forecast in the top actions bar.
  3. In the Select budget step, filter the list by budget group, budget name, or fiscal year as needed.
  4. Select the budget record to use for this forecast, then select Select to continue.
  5. Complete the forecast details:
    • Forecasted for: Select a specific organization, or choose Don't Allocate to leave the forecast unallocated.
    • Details: Enter an optional description or context for the forecast.
    • Forecast amount: Enter the amount to reserve. This must be greater than zero and cannot exceed the available budget amount. You can edit this value later.
    • Expected payment date: Enter an approximate date between today and the budget end date. You can edit this value later.
  6. Select Create Forecast.

The forecast is created and appears in the grid. If you allocated the forecast to an organization, the system will notify you when a payment is created for a proposal linked to that organization, giving you the option to draw down from the forecast at that time.

Note: The Create Forecast button is only available to users with the Forecast.Manage access right. If the button does not appear, contact your program administrator.

Viewing and Editing Forecast Details

Opening a forecast

From the forecast grid, select the three-dot menu on any row and choose Open, or select the forecast ID link directly if it appears as a column.

The forecast detail page opens with:

  • Header: The forecast ID and optional description, with a status badge when the forecast has a status assigned.
  • Overview card: A summary of the linked budget (with a link to the budget record), the total forecasted amount, and the total remaining amount.
  • Details section: The full forecast record, including Forecasted for (the linked organization or "Not Allocated"), Details, Forecasted amount, and Expected payment date.
  • Distributions section: When enabled for your program, this section lists all payment distributions linked to the forecast. You can filter, select rows, and export distributions from this section.
  • Sidebar: Context actions for editing and deleting the forecast.

Editing a forecast

Editing forecasts requires the Forecast.Manage access right.

  1. Open the forecast detail page (see "Opening a forecast" above).
  2. Select Edit Forecast in the right sidebar.
  3. Update the fields as needed. The Forecasted for field can only be reallocated if all linked payments point to the same organization. If payments are linked to multiple different organizations, the field is locked.
  4. Select Save to apply your changes.

Note: Forecasts with a Distributed status cannot be edited. A forecast is automatically set to Distributed when its full forecasted amount has been spent. If the Edit Forecast button is unavailable, the forecast has already been fully distributed.

Deleting a forecast

Deleting forecasts requires the Forecast.Delete access right.

  1. Open the forecast detail page.
  2. Select Delete under More Actions in the right sidebar.
  3. Confirm the deletion when prompted. This action cannot be undone and the forecast cannot be recovered.

You can also delete a forecast directly from the dashboard grid using the three-dot menu on the forecast row.

Note: Forecasts that have payments linked to them cannot be deleted.

Exporting Forecasts and Managing Columns

Exporting forecasts

The Export menu in the top actions bar provides the following options:

  • All (with count): Exports all forecast rows in the current filtered scope.
  • Selected (with count): Exports only the rows you have selected in the grid. This option is disabled if no rows are selected.
  • View Results: Opens the export results page to check the status of recent export jobs.

Forecasts are exported as Excel files. For large exports, the system queues the job and redirects you to the export results page when it is ready. For smaller exports, the file downloads directly.

If no rows are selected when you choose Selected, a message appears indicating that no items are selected.

Managing columns

Select Manage Columns in the top actions bar to open the column configuration panel. From here you can:

  • Add or remove columns from the grid.
  • Reorder active columns.
  • Reset the layout to the default column set.
  • Select Apply to save your changes.

Column preferences are saved per user and persist across sessions.

Using quick search

The Find / Filter input in the top actions bar provides fast text search across the forecast list. Enter any text to narrow results by matching against the following fields: ID, Forecasted for, Details, Budget, Status, Forecasted amount, Remaining amount, and Expected payment date.

Quick search works alongside the filters panel. Use filters for structured criteria and quick search for free-text lookups.
