Using AI summaries to review grant applications

AI summaries use generative AI to create concise overviews of a request's purpose, funding needs, and intended impact. This helps reviewers quickly assess whether a request aligns with funding criteria without reading the full application, reducing the time spent on initial screening and supporting more efficient evaluation at scale.

Permissions

Anyone with the following permission enabled in the Grant request - AI Summary section can enable or disable AI summaries:

  • User can manage AI summaries for grant requests?

When AI summaries are enabled, all users can generate and view them.

Enabling or disabling AI summaries

AI summaries are enabled by default for organizations that have access to this feature. Administrators can disable or re-enable the feature at any time.

Note: When the feature is disabled, existing summaries are retained but hidden from reviewers. Summaries become visible again if the feature is re-enabled.

To disable or re-enable AI summaries:

  1. Navigate to Tools > AI Features.
  2. Locate the AI Grant Summaries toggle.
  3. Select the toggle to turn the feature off or on.

Notifying applicants about AI use

Application forms don't automatically tell applicants that AI will be used to review their submission. Contact support to have this added.

Note: Only requests submitted while AI summaries are enabled are eligible for summarization. Requests submitted before the feature was turned on cannot be summarized, as they do not include the required consent.

Generating a summary

Reviewers can generate an AI summary for any eligible request. A request is eligible if it was submitted while the AI summaries feature was enabled.

To generate a summary:

  1. Open a grant request.
  2. Select the AI Summary tab in the request details.
  3. Select Generate Summary.
  4. Review the summary that appears.

The summary highlights the key details of the request. AI summaries can make mistakes, so always review the full request before making a decision. Request content is processed through a secure, private AI model and is not used to train AI systems.

Once generated, the summary remains visible until the request content is updated. If the request is edited after a summary is generated, you will need to generate a new summary to reflect the latest content.

If the Generate Summary button does not appear, the request was submitted before the feature was enabled and is not eligible for summarization.

If the AI service is temporarily unavailable, the Generate Summary button is disabled and an error message appears. The service recovers automatically. If the issue persists, contact support.

Providing feedback on summaries

After a summary is generated, you can indicate whether it was helpful.

  • Select the thumbs up icon if the summary accurately reflects the request.
  • Select the thumbs down icon if the summary was not helpful.

Your feedback is reviewed to identify patterns and help improve summary quality over time. Feedback is saved and your previous rating is shown the next time you view the same summary.
