Managing event sign-ups and attendance allows Group Leaders to stay organized and make sure their events run smoothly. From adding attendees to updating statuses or managing the waitlist, this page helps keep everything in one place. This is especially useful for in-person events and events with limited capacity.
Permissions
Program administrators and group leaders can add attendees to events and manage waitlists and attendance on behalf of individuals.
Adding attendees to an event
- Select your avatar > Group Leader Dashboard.
- Select the Group that is hosting the event to open its dashboard.
- Go to the Events tab and select Manage Attendance from the event’s three-dot Actions drop-down to open the Manage Attendance page.
- Select Add Attendees to the left hand side of the occurrence dropdown on the Manage Attendance page.
- Use the search bar to find eligible individuals by name or email.
- Only eligible individuals will appear based on the event’s audience settings (for example, only Group Members if that is selected).
- Select individuals from the results using the checkboxes and confirm your selection on the right side.
- Select Add to event to complete the process.
Important: If the event has a waiver, anyone added by a Group Leader will not be prompted to accept it. Encourage individuals to sign up themselves if a waiver is required.
Viewing attendee statuses
On the Manage Attendance page, you can view:
- Total sign-ups
- Confirmed attendance
- Waitlist count (if enabled)
- Hours tracked (if time tracking is enabled)
Each attendee shows one of three statuses:
- Signed Up
- Attended
- Waitlist
Managing individual attendees
- Locate the person in the attendee list.
- Select the action you want to take from their Action drop-down in the far right hand column.
Available actions by status:
- Signed Up
- Move to waitlist
- Mark as Attended
- Remove attendee
- Attended
- Cancel attendance
- Remove attendee
- Waitlist
- Mark as Signed Up
- Mark as Attended
- Remove attendee
Managing attendees in bulk
- Use checkboxes to select multiple attendees.
- Select one of the following from the Bulk Actions drop-down:
- Move to waitlist – moves selected people to the waitlist.
- Mark as Attended – updates their status and logs time if tracking is enabled.
You can only mark users as Attended if they have already been signed up for the event. If someone has not yet signed up, first add them to the event, then return to this page to update their status to Attended. - Mark as Signed Up – moves individuals from waitlist to signed up and sends a notification (email and in-app, if enabled).
- Remove Attendee – removes selected users from the event or waitlist entirely.
Important: To move people from the waitlist into the event:
- Mark the new attendees as Signed Up.
You can do this even if the event is at capacity. Group Leaders are not restricted by the event’s attendee limit when managing attendance. - Move others to the waitlist or remove them.
This gives you full control over who should attend, without the system automatically filling open spots from the waitlist.
