Exporting budget data

This article describes the default behaviour of a highly configurable system. Your granting program may appear or behave differently depending on user permissions and custom configurations. If you do not appear to have access to everything you need, use the Help > Request Help link to request additional permissions.

There are several options for exporting budget data. 

Exporting information for multiple budgets

You can download budget reports and other documents populated with multiple budget details. This document list can be customized to meet your business needs. 

To export details for one or more budgets:

  1. Go to Budgets & Payments > Budgets.
  2. Apply filters to narrow search results if needed.
  3. Select one or more budgets that you want to export. Do not select any budgets if you want to export information for all budgets in the results table. 
  4. Hover over Export and choose an option to generate a document. 

Exporting information for an individual budget

You can download budget reports and other documents populated with details for an individual budget. This document list can be customized to meet your business needs and can be different to the options you see when exporting details for more than one budget. 

To export details for a single budget:

  1. Go to Budgets & Payments > Budgets.
  2. Apply filters and select the name of the budget you want to export. The budget will open in a new tab.
  3. Hover over Export and choose an option to generate a document. 

Standard export options

Generate budget report

This report is an excel file including the budget name and budget summary, including total amounts for all linked distributions in different statuses.  

This Excel report contains budget names and a summary of associated distributions by status.

When you choose to generate this report, an Export Results table opens in a new tab and you’ll see the report in progress. Select Refresh to check if the report has completed successfully and select the file name to open it. When it is complete, you can Rename or Delete the report. 

Budget line item

This Excel report contains budget names and a summary of associated distributions by status. It is broken down further by proposals linked to the budget. 

When you choose to generate this report, an Export Results table opens in a new tab and you’ll see the report in progress. Select Refresh to check if the report has completed successfully and select the file name to open it. When it is complete, you can Rename or Delete the report. 

Budget detail report

This Excel report contains a detailed report on budgets and distributions. When you choose to generate this report, it is saved to your downloads folder. 

Distributions report

This Excel report contains a detailed report on distributions. When you choose to generate this report, it is saved to your downloads folder.

Export Results 

Some reports are generated and saved in the Export Results table. You can see all reports that have been saved here by hovering over Export and choosing Export Results.
