Reviewing external match requests with AI insights

Match Assurance brings automated receipt verification insights into the External Match Requests dashboard. You can use these insights to spot clean submissions quickly, focus on requests that need closer review, and move through the approval queue faster without cross-checking every receipt line by line.

AI validation highlights possible discrepancies between an employee's submission and their receipt. It does not approve or decline requests on your behalf, and you keep final decision-making authority on every match request.

Permissions

Anyone with the external match manager user role can review external match requests.

Note: Match Assurance AI insights appear automatically when your organization has employee-side AI receipt analysis enabled. You do not need to turn on a separate client setting for the admin dashboard to show AI validation.

Opting out of Match Assurance removes AI insights from both the employee submission form and the admin review experience. The modernized external match request layout remains available.

Prioritizing incoming requests

Use filters and sorting on the External Match Requests page to organize your daily review queue.

  1. Navigate to Match Requests in the admin navigation and open Filters.
  2. Set AI validation to the status you want to focus on, for example Verified matches or Review data.
  3. Apply other filters as needed, such as Request status, Donation type, or employee profile fields.
  4. Select Apply Filters.
  5. Sort the table by Submitted Date, Donation date, Requester Name, or Donation amount to order tasks the way you prefer.
  6. Check the AI validation column in the list view to confirm each request's status.
  7. Hover over an AI validation badge to preview a short summary of any issues before you open the request.

Match Assurance applies to new uploads on a rolling basis. It does not run retroactively on legacy requests submitted before your organization enabled the feature.

Reviewing individual request details

Open a single request when you need to compare receipt data with the employee's submission, following the same review workflow with AI insights layered in.

  1. Select the request ID link in the Request ID column (for example, 12345 View).
  2. Confirm the AI powered and secure badge appears on the request details page, indicating automated analysis ran on the receipt.
  3. Read the validation banner at the top of the page:
    • AI validated all receipt details as verified matches when all checked fields match.
    • Receipt details do not match the request when one or more fields need your attention.
  4. Review field-level indicators for Nonprofit name, Donor name, Donation date, and Donation amount:
    • A Verified match tag means the receipt data matches the submission.
    • A Found in receipt tag shows the value detected on the receipt.
    • A Not found in receipt tag means the system could not locate that field on the document.
  5. Open the inline receipt viewer in the Receipt Image section to zoom, rotate, or download the uploaded file, then compare it against the Donation Details and Nonprofit sections on the page.
  6. Select Approve or Decline when you are ready to process the request.
  7. Confirm your decision on the confirmation page and add an optional administrator note if you want the requester to receive a message with your decision.

Approving or declining requests in bulk

Process multiple queued requests at once after you have reviewed them, or set up automatic approvals to skip manual review for eligible requests.

  1. Filter the list on the External Match Requests page if you want to focus on a subset, for example AI validation set to Verified matches and Request status set to Queued.
  2. Select the checkbox next to each request you want to approve or decline. You can only select Queued requests.
  3. Select Approve or Decline in the Bulk actions bar.
  4. Review the request details on the confirmation page.
  5. Select Approve Request or Approve Requests (or the decline equivalent) to confirm.
  6. Select Download in the Bulk actions bar when you need a comma-separated values (CSV) export of the current list for reporting or record-keeping.

A success banner appears after bulk processing completes, listing the request numbers you approved or declined.

Understanding AI validation statuses

The AI validation column and filters use the statuses below. These insights help you prioritize review; they never block you from approving or declining a request.

Status What it means
Verified matches All four checked fields (nonprofit name, donor name, donation date, donation amount) match the submitted request.
Review data One or more fields have a discrepancy. Hover over the badge to find out which fields do not match or were not found on the receipt.
Not applicable AI validation does not apply to this request. Common examples include non-money donation types (such as Product or Stock) or requests submitted before Match Assurance was enabled.
Pending AI analysis is still running. Refresh the list after a short wait if you expect a result.
Unable to validate The AI could not process the receipt, often because of poor image quality, an unsupported file format, or a temporary service interruption during the employee's upload. Review the receipt manually.
