Managing users

This article describes the default behaviour of a highly configurable system. Your granting program may appear or behave differently depending on user permissions and custom configurations. If you do not appear to have access to everything you need, use the Help > Request Help link to request additional permissions.

You can manage user accounts directly on the platform. With this feature, you can view user details, enable or disable accounts, send password reset emails, and review user access to mailboxes and roles. It helps keep the user informed, saving time and streamlining administrative tasks.

Exporting users from User Management 

The User Management table displays user information, enables user searches, and facilitates the export of all or selected users.

You can export user information using the Export dropdown. This feature allows you to download either all users or only selected users as an Excel file.

To export users:

  1. Go to User Management from the Configuration menu
  2. Select at least one user if you want to export only selected users.
  3. Select the Export dropdown in the top left corner of the grid.
  4. Choose Export – All to export all users, or Export – Selected to export only those selected.

The export downloads automatically as an Excel (.xlsx) file:

  • Users_ExportAll_[dateTime].xlsx for all users
  • Users_ExportSelected_[dateTime].xlsx for selected users

Enabling and disabling users 

You can enable or disable individual users in User Management using the Actions menu. 

To enable a user:

  1. Find the user you want to enable.
  2. Select the three dots in the Actions column for that user.
  3. Choose Enable user.
  4. Select Enable in the confirmation popup to proceed or Cancel to exit.

Upon successful change of a user's status, a notification will be displayed, and the user status on the grid will be updated.

To disable a user, follow the same steps and choose Disable user. Disabled users are automatically logged out of the platform. 

Resetting a user’s password

You can send a password reset email to any enabled user from the Actions menu.

To reset a user’s password:

  1. Select Reset user password from the Actions menu next to an enabled user.
  2. Select Send Email to process in the confirmation popup or Cancel to cancel the action.

If successful, a notification will be displayed indicating to the user that a password reset email has been sent to the selected user.



 

Viewing user mailboxes and roles 

You can view a user’s assigned mailboxes and roles. This helps you understand which areas of the platform a user can access.

To view mailboxes and roles, select View mailboxes and roles from the Actions menu.



 

The Mailboxes and Roles table shows:

  • All mailboxes the user has access to
  • The user's role within each mailbox



 

From this view, users have the ability to generate an export of the selected user’s mailboxes and roles. To export this information:

  1. Select the Export dropdown and choose Export – All to download all rows, or Export – Selected to download selected rows. At least one row must be selected for the Export – Selected option.

The export downloads as:

  • User_Mailboxes_ExportAll_[dateTime].xlsx for all rows
  • User_Mailboxes_ExportSelected_[dateTime].xlsx for selected rows
