Running workflows

The platform has an automated task management system to streamline your organization's workflow. A workflow is a series of tasks that are sequentially assigned to users and can involve conditional rules based on certain criteria, making the process dynamic and efficient.

All of our client’s workflows are unique. Workflow rules and associated tasks are implemented by the Benevity team and customized to meet your organization’s business needs. Contact your program administrator or the Benevity support team to learn more about your workflows.

Running a new workflow

Workflows are typically automated and triggered by a certain action in the platform like receiving a submitted proposal. When a workflow is initiated, subsequent tasks are automatically created and assigned to users as previous tasks are completed and the workflow progresses.

Users are notified and access the Task Management workspace to view and complete these tasks; they can also be automated for efficiency (e.g. automate sending a document on approval). Each Task is unique and includes either a single option (e.g. “Complete Review”) or a positive and negative option (e.g. “Approve” or “Decline”). When a task is completed, the user may be required to provide additional information.

Workflow examples:

  • Approval process - tasks are assigned at different stages to different individuals to review and approve proposals.
  • Committee review - tasks are assigned to all members of a committee to each provide a review for a proposal.
