Finding and managing tasks

This article describes the default behaviour of a highly configurable system. Your granting program may appear or behave differently depending on user permissions and custom configurations. If you do not appear to have access to everything you need, use the Help > Request Help link to request additional permissions.

Proposal Tasks

You can find tasks on proposals that you manage in the proposal details. Tasks are either generated as part of a workflow or created stand-alone for a proposal. Open a proposal and navigate to the Labels section in the proposal details. Here you see the following links: 

  • Workflows (x) / Active (y): links to workflows run on this proposal. Open a workflow to view associated tasks. 
  • Tasks (n) / Active (m): link to view stand-alone tasks created for this proposal.  
  • External Tasks (p) / Active (q): link to view all tasks assigned to an external party related to the proposal. 

Task Management

The most efficient way to find and manage your tasks is through the Task Management workspace, where you can see all tasks that are assigned to you, or that you have access to.

Depending on your permissions, you may see different sections of the Task Management workspace and have access to limited tasks. All sections include filters, allowing users to customize their view and focus on specific tasks. 

The Task Grid displays all search results, along with essential details: 

  • Labels
  • Task
  • Proposal Name
  • Organization Name
  • Template
  • Status
  • Mailbox
  • Due Date
  • Received
  • Created By
  • Task State

You can select one or more tasks in any section of Task Management to take the following actions: 

  • Complete: set the task status to complete.
  • Cancel: set the task status to Cancelled.
  • Export: export task details to a document template for further analysis. 
  • Refresh: updates or changes to tasks are reflected promptly in the dashboard.

Task Management sections

Favorites

Views in the task management space do not allow you to customize the filters or table columns. If you would like to create customized views with specific results table details and filters, contact your Client Success Manager. Favorites are created for specific user groups. 

To-Do

My To-Do List

This view displays all active tasks assigned to the logged-in user. Users can open tasks to review and complete them and proceed to the next task in the queue if applicable. 

My Group To-Do List

Users assigned to a group can access the 'My Group To-Do List,' which displays tasks assigned to the user and others within the same workflow group. This feature allows users to have a comprehensive view of the tasks within their team, ensuring efficient collaboration and task completion.

My Work History

This section displays all tasks assigned to the user. Tasks can be in any status: Active, Completed, or Canceled

My Group Work History

This list shows all tasks assigned to the logged-in User and others within the same workflow group. Tasks can be in any status: Active, Completed, or Canceled.

Active Tasks

All tasks with an Active status.

All Tasks

All tasks in any status.

Workflow Management 

Active Workflows

All workflows with an Active status.

All Workflows

All workflows in any status.
