This article describes the default behaviour of a highly configurable system. Your granting program may appear or behave differently depending on user permissions and custom configurations. If you do not appear to have access to everything you need, use the Help > Request Help link to request additional permissions.
If a workflow has run on a proposal, you can find it on the proposal details page under Labels. Select Workflows (n) / Active (m) to view all workflows related to the proposal.
Choose a workflow to review and select the workflow name to open it. This page allows you to take some action on the workflow, like cancelling it or exporting information.
You can also see all Stages of the workflow and associated tasks. Select a stage name to see all associated Stage Tasks. If you want to open a task, select the task name to review the task details, including proposal information, and take action.
Editing tasks in a workflow
You can edit tasks related to a workflow from within the workflow space. Update task details or reassign tasks to another user by following these steps:
- Open a specific workflow.
- Choose a Stage and view the Stage Tasks below.
- Select Edit to the right of the task you wish to update.
- You can update the following task details:
- Assigned to
- Task Name
- Due Date
- Description
- Select Save to confirm your changes.
If you are reassigning a user, they must be in the same workflow group to be assigned to a task.
Workflow history
The Stage Tasks section also serves as a record for every workflow stage. Details in the task table include:
- Task status
- Due date
- Activated date
- Completed date
- Assigned user responsible for completing the task
- Task result
- Access to full task details
Cancelling a workflow
A workflow may need to be cancelled and re-run. Common reasons for this include changes in the approval amount, team decisions to decline or approve after a change, or the need for an application update.
To cancel a workflow:
- Navigate to the proposal with an active workflow you wish to cancel.
- Select the Workflows (1) / Active (1) hyperlink to open Proposal Workflows.
- Select an active workflow to open it in a new window.
- Select Cancel at the top of the window.
If you're ready to run a new workflow, return to the Proposal Workflows page, hover over Run New Workflow and choose a workflow. The ability to manually run a new workflow requires advanced permissions and you may need to contact your administrator or Benevity.
