Exporting and sharing proposal details and documents

This article describes the default behaviour of a highly configurable system. Your granting program may appear or behave differently depending on user permissions and custom configurations. If you do not appear to have access to everything you need, use the Help > Request Help link to request additional permissions.

There are several actions you can take on a proposal to export data, share proposal details or generate documents with proposal information auto-populated. 

Exporting one or more proposals

If you want to take action on multiple proposals, you can do so from the Proposals mailbox space. 

Select Proposals on the top navigation bar and apply filters to narrow search results. Here, you can select one or more proposals to export data by checking the box next to the proposal name. 

Select the Export dropdown and choose one of the following. Each export type can be done for All results (all proposals in the results grid) or Selected results (only proposals you have selected): 

  • Proposal values: export values specific to the proposal template.  
  • Common values: export values that are common across all proposals.
  • Grid values: export values displayed in the search grid. 
  • Generate doc/PDF/Excel: choose a custom template to export results to. 
  • Export results: view all previously exported results files. 

Sharing proposal details via email

Email templates can be designed to suit your internal process and used to streamline communications and share proposal information. For example, the "Internal Proposal Sharing" email template includes high-level proposal details and a read-only link to the full proposal and attachments. The link can be opened by anyone who has access to it. 

To send an email template:

  1. Open a proposal and select More Actions > Send New Email.
  2. Choose a template.
  3. Edit the email content if needed and select Send Email to send the email. 

Generating proposal documents

You can download Word, Excel or PDF documents populated with proposal details. This document list can be customized to meet your business needs. 

To generate a document:

  1. Open a proposal and select More Actions > Generate Doc/Excel/PDF.
  2. Choose a document template. 

Alternatively, you can convert the proposal and other forms to PDF:

  1. Open a proposal and select More Actions > Print.
  2. Select the name of the form and a printable version is generated.

Select To PDF at the top left of the printed page to generate a PDF (links to attachments are clickable, but only for logged-in users).
