Creating an individual challenge

Creating customized challenges is an effective way to engage employees in a way that you know will resonate with them and align with company goals and activities. This guide will walk you through the process of creating a challenge, ensuring you leverage all the available features to maximize impact and participation.

Permissions

Anyone with the challenges admin user role can create and manage challenges.

Creating a challenge

To create a challenge:

  1. Go to Manage > Content > Manage Challenges and select Create Challenge in the top right corner.
  2. Choose to create an individual challenge rather than a collective challenge.
  3. Enter the challenge details. All fields are required unless marked as optional:

    Content

    • Title: Displayed prominently in the catalog. Example: "Walk to the Office"
    • Subtitle: A brief description that also appears in the catalog. Example: "Promoting health and sustainability by encouraging walking to work."
    • Preview: A short snippet that captures the essence of the challenge. Example: "Join us in this week-long challenge to boost your health and reduce your carbon footprint by walking to work."
    • About this challenge: Describe the challenge's purpose and objectives. You can add emojis and embed YouTube or Vimeo videos using the rich-text editor tools.
    • Did you know?: Share interesting facts or benefits related to the challenge. You can add emojis and embed YouTube or Vimeo videos using the rich-text editor tools.

    Image

    • Image upload: Add a relevant image. Accepted formats: .jpg, .jpeg, or .webp, up to 250 KB.
    • Image alt text: Provide a short description of the image for accessibility purposes.

    Settings

    • Status: Choose the current status of the challenge. Published challenges are available to your people to join and track their progress.
    • Category: Assign a category that best fits the challenge (for example, Sustainability or Wellbeing).
    • Duration: Define how long the challenge will run (for example, 7 days).
    • Completion rule: Choose whether participants must wait until the challenge ends to mark it complete (default), or if they can complete it at any time during the challenge (flexible).
    • Allow this challenge to be repeated: Challenges are repeatable by default. Uncheck Repeatable to make this a one-time challenge.
    • Effort: Indicate the level of effort required (for example, Moderate or High).

    Points and impact metrics

    • Points: Assign points to the challenge for gamification and tracking progress.
    • CO2 saved in kg (optional): Enter an estimate of the CO2 reduction expected from participating.
    • Water saved in liters (optional): Enter an estimate of the water savings from the challenge.
  4. Select Publish, Save Draft, or Schedule using the action button and its dropdown.
  5. Review the read-only summary of your challenge details, then confirm to save. Select Close to go back and make changes.

Note: Once people join a challenge, they automatically receive up to three reminder emails to encourage participation and completion:

  • Halfway through – Sent mid-way through the challenge to encourage continued participation.

  • Ready to complete – Sent when the challenge ends, prompting employees to submit their activity.

  • Last reminder to complete – Sent 7 days after the challenge ends as a final prompt.

These emails include your company branding and are automatically translated based on each employee's language preference.

Adding emojis to challenge content

The About this challenge and Did you know? fields include a rich-text editor with an emoji tool. Use it when you want to add visual emphasis or a friendly tone to your challenge copy.

  1. Go to Manage > Content > Manage Challenges and select Create Challenge, or open an existing challenge and select Edit.
  2. Select the About this challenge or Did you know? field.
  3. Place your cursor where you want the emoji to appear.
  4. Select the emoji button in the editor toolbar.
  5. Choose an emoji from the picker. The emoji is inserted at your cursor position.
  6. Continue editing the field, then finish creating or saving the challenge as you normally would.

Emojis appear in the challenge details view for employees. Use the Preview workflow to confirm formatting before you publish.

Embedding videos in challenge content

You can embed a YouTube or Vimeo video in About this challenge or Did you know? so employees can watch it directly on the challenge details page.

  1. Go to Manage > Content > Manage Challenges and select Create Challenge, or open an existing challenge and select Edit.
  2. Select the About this challenge or Did you know? field.
  3. Place your cursor where you want the video to appear.
  4. Select the Add video icon in the editor toolbar.
  5. Enter the Video URL for a supported YouTube or Vimeo link.
  6. Add any optional settings: enter a Title, choose an Alignment (None, Left, Right, or Center), or select Autoplay if you want the video to start playing automatically.
  7. Select Add, then continue editing and save the challenge as you normally would.

Only YouTube and Vimeo URLs are supported. If the URL is not recognized, the dialog shows Enter a valid URL until you provide a supported link.

When Autoplay is selected, the video starts muted when the page loads. This is standard browser behaviour: the video must be muted for autoplay to work across modern browsers.

Setting challenge completion rules

During challenge creation, you can decide when participants are allowed to mark the challenge as complete by checking or unchecking the box labeled Allow end users to complete a challenge at any time in the Challenge duration section.

Choosing the right option helps match the challenge to the type of activity and supports a smoother experience for your people.

Default completion (checkbox not selected)

Participants can complete the challenge only after the full duration has ended.
Use this for challenges focused on long-term behavior or habit-building.
Example: "Meditate for 10 minutes daily for a month."

Flexible completion (checkbox selected)

Participants can complete the challenge at any time during its duration.
Use this for one-time or action-based challenges.
Example: "Attend a volunteer orientation" or "Switch to a reusable water bottle."

Previewing a challenge

While creating or editing a challenge, you can preview how it will appear to employees before publishing. This allows you to check formatting, images, and content layout without needing to go live.

  1. Select Preview from the right-hand side of the challenge form.

  2. Preview the challenge in two formats:

    • Challenge Detail View: Shows what the full challenge page will look like.

    • Catalog Card View: Displays how the challenge will appear in the challenge catalog.

  3. Select Back in the top left to exit the preview and continue editing or publish your challenge.

The preview uses placeholder data (for example, participant numbers) to simulate how the challenge will appear once published. You can open and close the preview at any time without losing your progress.

Editing a challenge

To make changes to challenge details:

  1. Go to Manage > Challenges and locate the challenge you want to edit.
  2. Select the three-dot Action menu and choose Edit.
  3. Update information in the challenge form.

Select Confirm to save the changes to the challenge.
