Linking parent/child organizations

In different scenarios, you'll receive proposals from organizations that are part of a larger institution, such as a national organization with regional chapters or a university with multiple departments. To effectively manage these, create separate organization profiles for each chapter or affiliate in the system. This way, you can track the proposal history for each specific entity and ensure distinct vendor accounts for payment processing.

It's advisable to create a parent organization and add all chapters/affiliates as children to it in the system. This is helpful for two main reasons:

  1. When a new proposal is submitted with a Tax ID that is shared across multiple organization profiles, the system links it to the parent. You can quickly see all related organizations and make sure that the correct one is assigned. 
  2. You can access the proposal history for each child organization individually, but you also have the option to view the history for all child organizations from the parent profile.

To create a parent/child hierarchy of organizations, you can either add a parent to a child organization or add a child to a parent organization. 

Adding a parent organization 

To link a parent organization to a profile: 

  1. Create an organization or identify an existing organization that will be the parent. 
  2. Open the organization profile to add a parent. 
  3. Navigate to the Parent Organization section and select Change Parent.
  4. Locate the organization, select it and Save to link the parent. 

Adding a child organization 

To link one or more child organization(s) to a profile: 

  1. Create an organization or identify an existing organization that will be the child. 
  2. Open the organization profile to add a child.  
  3. Navigate to the Child Organizations section and select Add Child Organizations.
  4. Locate the organization(s), select one or more, and Save to link the children. 

Organization structure

When you're looking at the Organization tab on a proposal, you can quickly identify if it's the parent organization if the Organization Structure section indicates one or more children. Alternatively, it may be a child organization if there is a Parent organization linked here. 

 

Grouped organization history 

When viewing the proposal history of the parent, you have the option to include proposals submitted by all linked children: 

  1. Open the parent profile.
  2. Select Proposals under the organization name to view the history.
  3. Enable the Show Child Organization History checkbox and Apply

The displayed proposal results include those submitted by the parent and all children.
