Creating an organization

This article describes the default behaviour of a highly configurable system. Your granting program may appear or behave differently depending on user permissions and custom configurations. If you do not appear to have access to everything you need, use the Help > Request Help link to request additional permissions.

Organization profiles are created in your program to record your relationship with a nonprofit.

A profile serves several purposes:

  • System of record: the organization details are maintained in one place. Only users with appropriate permissions can update profiles.
  • Proposal history: organizations may submit several proposals to you over time. An organization profile maintains the history of these proposals.
  • Efficient payment management: the organization profile records details used for making payments. Payment systems and teams can quickly reference these details.

Automatically creating a new organization

When a proposal is submitted, the platform checks if there is an existing profile with the same Tax ID and links the organization. If the platform doesn't find an existing profile with the same Tax ID, it automatically creates a new profile. The organization's profile details, such as name and address, are populated from the proposal.

Manually creating a new organization

You can manually create a new profile by going to the Organizations workspace and selecting Create New Organization.

You have two options:

  • Create Manually: create an organization from a blank form. Organization Name, Tax ID, and Address are all required fields.
  • Create from Nonprofit: search for an organization in the Benevity nonprofit database.

You can also go to the Organization tab on a proposal and select Actions > Create New Organization. You have the following options:

  • From IRS/CRA Database: this is an integration with Guidestar. Enter the tax ID and the platform will locate the nonprofit in Guidestar.
  • From Proposal Data: proposal data related to the organization is prepopulated in the create organization form.
  • From Nonprofit Database: search for an organization in the Benevity nonprofit database.
  • Empty: create an organization from a blank form.
