Generating a user list in Reporting Studio

You can build a list of employee emails or employee IDs in Reporting Studio to upload when you seed rewards. Use the Participation Explore, which is user-based, so you can include eligible users even when they have not donated or volunteered in the period.

Building the list in the Participation Explore

Start in the Participation Explore so you can filter eligible users and export a single identifier column.

  1. Open the left navigation bar and select Explore, then open Employee Engagement and choose Participation.
  2. Set Date Range Filter (and Time Period Filter if needed) so the report covers the employees you want.
  3. Add any profile or custom field filters that define your audience (for example, department, region, or user status). Use the Participation Explore field definitions if you need help choosing filters.
  4. In the field picker under Users, add User Email or Employee ID.
  5. Select Run.

Note: Transaction-based Explores such as Donations or Rewards only include users who already have matching activity. Prefer Participation when you need a full list of eligible users for seeding.

Downloading and preparing the file

Download the results, then reduce the file to the single column seeding expects.

Note: User Email and Employee ID are personally identifiable information (PII). Users without PII access see [REDACTED] in these fields and cannot use the export for seeding. PII access is not included by default when you manage Reporting Studio user accounts, and values stay hidden in reports until access is granted. To request it, a change signatory should contact Support.

  1. Select the cog icon at the top right, then select Download.
  2. Choose CSV or Excel spreadsheet.
  3. For large lists, expand Advanced data options and select All Results so the export is not limited to the on-screen row limit.
  4. Select Download.
  5. Open the file and delete every column except User Email or Employee ID. The seeding upload accepts only one column of identifiers.
  6. Save the file as .csv, .xlsx, or .xls (Excel 2007 or later).

Note: Email addresses are case-sensitive and must match the email in the user's profile.

When the file is ready, upload it in the Add users step when you seed rewards. You can also create a user list from a sample template or from Benevity Reporting.
