Administrators can cancel an employee's upcoming and recurring payroll deductions before a payroll period closes. This is most often used when someone leaves your organization, or when you need to remove all of their scheduled payroll donations after checking upcoming and unprocessed payroll donations.
Permissions
Anyone with the payroll manager user role can delete deduction requests for employees from People.
Employees can also edit, stop, or pause a payroll deduction from My Profile.
Deleting deduction requests for an employee
Use this when you need to stop all of an employee's upcoming and recurring payroll deductions while the payroll period is still open. Run the action before the period closes so the deductions do not move into processing.
Important: This action:
- Removes all deduction requests for the selected employee
- Does not let you choose a specific nonprofit or donation amount
- Does not send the employee a cancellation email
- Removes cancelled deduction requests from Upcoming Donations
Note: Irreversible deduction requests (for example, certain gift card advances) cannot be deleted and may still appear under Upcoming Donations after you run the batch action.
- Select Manage in the top right corner.
- Select People from the admin navigation bar.
- Find the employee and select the checkbox next to their name. You can select more than one employee.
- Select Delete Deduction Requests for user under Batch Updates.
- Select Confirm and wait for the page to finish loading.
- Open the employee's profile, go to Giving > Upcoming Donations, and confirm that the donations you expected to remove are gone.
Note: If donations have already moved to Unprocessed Donations, Managing donations in Unprocessed Donations later in this article covers what to do next.
Cancelling specific donations only
The batch action removes every request for the employee. You can contact support if you need to:
- Cancel some of an employee's upcoming donations but keep others
- Cancel donations for a large number of employees
Support can run a Cancel Upcoming Pledges import that targets specific nonprofits or giving opportunities.
Handling payroll donations for departed employees
When you block an employee's account, the platform removes their active and future payroll deduction requests and pauses remaining recurring deduction requests. You do not need to run Delete Deduction Requests for user solely because the account was blocked.
Still check these cases:
- Open period, account still active: If the person has left but the account is not blocked yet, use Delete Deduction Requests for user. That stops upcoming deductions before the period closes.
- Unprocessed Donations: Blocking an account does not remove donations already in Unprocessed Donations. Those cannot be changed from Upcoming Donations.
- Payroll provider: Blocking an account does not always reverse instructions already sent to your payroll system. Coordinate with your payroll team so deductions are not taken after the employee's last day.
To confirm what remains after offboarding:
- Open People and find the employee. Use the Account Status filter if you need blocked accounts.
- Check Giving > Upcoming Donations.
- Check Donation History > Unprocessed Donations.
Managing donations in Unprocessed Donations
After the payroll period closes, donations move to Unprocessed Donations in Donation History. They stay there for tracking and reconciliation, and they are no longer available to change from Upcoming Donations.
If a departed employee has donations in this section:
- Work with your payroll team to prevent or adjust the deduction according to your company's payroll policy.
- Request help with the donation record from contact support when you reconcile payroll deductions.
