Updating new user credit settings

New user credits (NUC) help welcome employees to the platform by providing a reward they can donate to eligible nonprofits. Benevity can help you set this up as a new part of your program. If you have already enabled NUCs, you can adjust the settings described in this article. Some changes require a support request.

To manage NUC settings, go to Manage > Company Giving > New User Credits. This guide explains which settings you can update directly and when to involve Benevity Support.

Permissions

Users with the budget manager role can view and update the NUC settings described below.

Editable settings

The following updates can be made to existing NUC settings. When you are ready to confirm your changes, select Save.

Adjustments are applied to credits issued after the save date. For example, a new number of days to expiry will affect credits issued after the change is saved.

Frequency 

The frequency that an eligible user is credited rewards: 

  • Add once to first-time users: allocates rewards when an eligible user logs in for the first time.
  • Add once to first-time users and each time they're reactivated: allocates rewards when a new or reactivated eligible user logs in for the first time. A reactivated user is someone who was removed from user data (your user data file or worker data) and then re-added. This may be due to someone leaving the company and returning.

First-time eligible users include those who become eligible from a change in their profile or New User Credit configuration, and first-time users logging in to the platform.

Days to expiry and expiry type

  • Update the expiration period for NUCs to specify the number of days before rewards expire.
  • Choose a new option in the From field. Rewards can expire a number of days from the user’s next login or based on a user profile date field, typically the hire date. 
    • Next login expires rewards based on the date the user next logs in to the platform, giving them the full number of days to use their rewards before they expire. 
    • Profile field allows you to select a date field from your user data to base expiry on. It must be a date field (example: Hire Date) with “date’ in the field name and be provided in YYYY-MM-DD format. If users don’t log in right away, they’ll have less time to explore the platform before their rewards expire.

Benevity Support must enable or disable NUCs for your program. 

Eligibility rules

Adding or modifying eligibility rules requires assistance. 

Please note that changing these rules triggers a re-evaluation of users based on the new criteria, when the user logs back in. Any user that fits the eligibility criteria and has not already received NUCs will be credited, unless Add once to first-time users and each time they're reactivated is selected, in which case these users will be rewarded again.

For example, if a rule is removed that excludes certain countries, users in those regions will become eligible immediately, regardless of whether they had logged in before. 

NUC history

To help maintain oversight of NUC changes, an audit trail is displayed at the bottom of the page. This is an automatic record of every change made to the settings. If multiple updates are made before selecting the Save action, all updates are logged in a single row. 

Recorded actions

The audit trail captures a variety of configuration changes, including:

  • Activation and Deactivation of NUCs
  • Frequency: switching between one-time and activation-based crediting
  • Expiry Days: adjusting the number of days before rewards expire
  • Expiry Type: selecting either "Next Login" or a profile field (e.g., Hire Date) to set expiration
  • Currency Adjustments: changing amounts or adding new currencies
  • Eligibility Rules: adding/removing rules or updating eligibility rule values

The history also records who made the change. If it is a client user, the username is displayed. If Benevity makes a change on behalf of a client, it appears as "Benevity" in the "Updated by" column, or "Benevity - Automation" if completed automatically.
