Note: This article describes the default behaviour of a highly configurable system. Your granting program may appear or behave differently depending on user permissions and custom configurations. If you do not appear to have access to everything you need, use the Help > Request Help link to request additional permissions.
The Submitter Portal lets you start and save applications, finish them later, and review past submissions. It is also where you complete grant requirements and request help from your program. Application history is tied to your individual submitter account, so colleagues cannot share one login or open another person's past applications without help from your granting program.
Getting started on a new application
Select Get Started on the portal home page to launch the eligibility quiz or begin an application for a program.
Checking notifications
Notifications is where proposal updates appear.
Open Notifications to review items such as requests for additional information and status changes on applications you submitted.
Viewing and managing proposals in My Proposals
The My Proposals table lists applications you have saved or submitted. Each row shows status, dates, and key details so you can continue in-progress work or review completed submissions. Only proposals linked to your submitter account appear in this list.
Viewing a proposal
Open any row in My Proposals when you need the full submission.
- Select a proposal in the My Proposals grid.
- Review the full proposal details on the proposal page.
Deleting a not-yet-submitted application
You can delete a saved application that you have not submitted yet. The Delete link appears only for incomplete applications that you own. This helps keep My Proposals focused on active work.
- Locate the saved application in My Proposals.
- Select Delete for that row.
- Select Yes when asked to confirm. Submitted proposals cannot be deleted.
Printing or saving a proposal as PDF
Use Print when you need a hard copy or a PDF for your records.
- Open the proposal from My Proposals.
- Select Print at the top of the proposal page.
- Select Print to send the proposal to a printer, or select To PDF to download a PDF copy.
Reviewing email correspondence
The portal keeps system emails related to each proposal so you can revisit what was sent.
- Select Emails next to the proposal in My Proposals.
- Select an email in the list to read it at the bottom of the page.
Duplicating a submitted proposal
When you need to submit a similar application again, you can duplicate a prior submission from the home page. Duplicate appears when your program enables it.
- Select Duplicate for the submitted proposal in My Proposals.
- Complete any new or updated questions in the copied application.
- Submit the new application when you are ready.
The duplicate flow copies applicable answers from the original proposal. Your program controls which fields carry over.
Completing required actions on a proposal
When your program needs more information or edits, you receive an email and an indicator appears in My Proposals.
- Find the ! indicator next to the proposal in My Proposals when action is required.
- Open the proposal.
- Use the links in the Required Actions menu at the top of the proposal to complete each requested item.
Giving colleagues access to past applications
Each person uses their own Submitter Portal login. My Proposals shows only applications linked to your submitter account. If a colleague needs to work on applications that were started or submitted under someone else's account, use one of the approaches below.
Continuing with the original submitter account
If the person who created the applications can still log in, they can keep managing those proposals in My Proposals. Updating the password or the account email on that same login may be enough, and no proposal transfer is required.
- Follow the steps in Logging in to the submitter portal to reset a password if needed.
- Select your name in the account menu, then select My Account. Update the username (email) or other profile details. For full steps, see Logging in to the submitter portal.
Moving past applications to a colleague's account
When someone else must own or open historical applications under their own login, they need their own Submitter Portal account. The granting program must also reassign each proposal to that account.
- Ask the colleague to create their own Submitter Portal account using Logging in to the submitter portal. They should register with the email address they plan to use going forward.
- Collect the colleague's registered email address and the Proposal Name or Proposal Id values from My Proposals for each application to move.
- Contact your granting program and ask them to reassign those proposals to the colleague's submitter account.
- Ask the colleague to log in and confirm the proposals appear in My Proposals after the program completes the change.
Past applications stay on the original submitter account until the granting program reassigns them. Benevity Support cannot move proposals between submitter accounts. Only users with permission on your granting program can change the submitter when editing a submitted proposal.
