Automatically approving match requests

Spark users can fill in the Request a Match form to ask for company matching on a donation they recently made. Of course, the easiest way to receive a match is to donate within Spark, but sometimes donations happen outside of your program site, such as at a local fundraising event or a door-to-door campaign.

After a user fills out and submits the form, the request will either get sent to you for manual review or it will be automatically approved.

Who can complete these steps?

  • Your company’s “change signatory” must sign and submit the auto-approval authorization form before we can add the feature to your program settings.
  • Your Spark role must be Role Manager in order to enable or disable the feature within your program settings.

Sign and submit the auto-approval authorization form

You have two options for signing and completing the authorization form:

  • Chat with your Benevity Client Success Manager so that they can provide you with both a copy of the form and the list of your program’s Role Managers. Every user who is a Role Manager will need access to use auto-approvals.
  • If you know who your Role Managers are, then you can fill out and sign the copy of the form attached at the bottom of this article. When you've filled it out, email it to your Client Success Manager.

After our Benevity teams receive the completed form, they will add the feature to your program settings, and then you can enable it in your program!

How to enable auto-approvals

  1. Sign in to your program and select Manage in the top-right corner of the screen.

  2. On the menu bar, select Match Requests.
  3. Choose one of three approval options:
    • Do not enable auto-approvals: if you want to manually review all match requests.
    • Enable auto-approvals for all match requests: if you want all match requests to be automatically approved.
    • Enable auto-approvals for match requests under a threshold: if you want to have a mix of both automatic and manual approvals—based off match amounts and currency types.

  4. If you’re not enabling auto-approvals or if you’re enabling it for all match requests, select Save and you’re done!
  5. If you’re going to auto-approve match requests under a threshold, follow these additional steps below:
    • Open the Currency dropdown and add the currency. Currencies not added will require manual review. 
    • Enter the amount in the Auto-approval thresholds. Match amounts above the threshold will require manual review; match amounts less than or equal to are automatically approved.
    • Select Save.

  6. You're done! Now, when a user submits a match request, they'll either get an email saying that their request was automatically approved, or they'll get an email saying that their request has been submitted for review.

FAQs

Can I turn off automated approvals for just one day or a week?

Yes. All you need to do is go back into Manage > Match Requests and select Do not enable auto-approvals. Then, when you want it back, just turn it back on!

Which Spark user roles can approve or decline match requests?

What happens if I turn on auto-approvals while I have existing requests still to review?

Match requests that were submitted before you enabled auto-approvals will require manual review. They will not be automatically approved. Any requests submitted after you turn it on, will be automatically approved.

Will Peer Matching requests be auto-approved as well?

Yes. When you enable auto-approvals, requests for both company matching and Peer Matching will apply.

What are the benefits of using auto-approvals over manual approvals?

  • The matching donations get to the causes quicker.
  • Users get immediate confirmation of the impact their donation.
  • Reduces your workload. Less time spent manually approving requests based on risk tolerance.
  • Flexibility to adjust risk tolerance based on active campaigns and sensitive budget periods.
