Take control of your fiscal year-end. With a little planning, you can ensure a smooth transition and maximize your impact. Follow this checklist to stay ahead of the curve.
Review Your Program Cycle:
Ensure your application open and close dates are set to align with your fiscal year-end.
Allocate Sufficient Resources:
- Be ready to handle a potential surge in applications.
- If you need extra support, reach out to your Client Success Manager to discuss our services. (We can generally accommodate providing a managed service at any time, however if it is surrounding the Giving Season or a holiday, please give us ample time to prepare resources (4-6 weeks).
Budget Wisely:
- Confirm you have the necessary funds to support your planned donations. (Especially if you have a Float Fund set up with Benevity)
- Generate a report or contact us via Bhive to get an overview of your commitments.
Plan Ahead for Reporting:
Submit your reporting requests early to ensure timely and accurate insights.
Plan Ahead for Next Year’s Budgeting:
Review your budgets for the upcoming fiscal year in your system and, where possible, add new budgets as needed via self-serve options. For any updates where you require the CTS team’s support, submit those requests as early as possible to ensure a smooth transition.
Plan Ahead for Application Updates:
If you need to update your application forms or proposals, start the process early.
Plan Ahead for Landing Page Updates:
If you need to update your applicant landing page or branding, start the process early.
Extra Considerations if you are using Benevity’s Disbursement
- Nominate Early: If you plan to nominate causes for funding, start the process now to allow for registration and onboarding. If you have important partners, we recommend you give them a heads up!
- Streamline Approvals: Prioritize application reviews and payment approvals to avoid last-minute rush.
- Timely Disbursements: Approve December disbursement requests/proposals in November to ensure timely delivery.

Confirm your updated purchase orders with the Benevity Finance team:
If you require a PO to be added to your Donations Report and these are changing this year, please provide any updated information via this form. Please include the respective foundation information along with each PO.
- If you require a new PO on your Jan. 1, 2025 (December donations) Donation Report we ask that you submit these by Dec. 15, 2024 to ensure the changes are captured before donation reports are sent.
- If you require a new PO on your Feb. 1, 2025 (January Donations) Donation Report we ask that you submit these by Jan. 15, 2025 to ensure the changes are captured before donation reports are sent.
